Advocate Supervisor - 30 hours/week
The Advocate Supervisor reports to the Program Director.
Case Management
- Assume management responsibility for up to 12 volunteers and/or 23 cases, reviewing new cases, and working to assign appropriate volunteers to each case in consultations with the Program Director. Demonstrates knowledge of each assigned case’s history and pertinent advocacy issues.
- Prepare case assignment documentation.
- Review, edit, and approve CASA court reports.
- Review and distribute reports to the Program Director for approval prior to submitting to the Court.
- Support advocates on their cases through problem solving, guidance, evaluation, training, and preparation for court appearances.
- Provide direct supervision to CASAs whose advocacy is inappropriate or detrimental.
- Maintain high level confidentiality with respect to client and family information.
- Introduce CASAs to system professionals and facilitate interagency collaboration.
- Upon case closure, ensure electronic records are updated with all relevant information, and prepare Case Closing documentation.
- Electronically maintain timely and thorough documents/records of each case and volunteer. Maintain and report case and volunteer data into Optima.
Volunteer Supervision
- Provide support to volunteers regarding their cases including problem solving, resource information and guidance related to the child welfare system. Contact between CASA and Supervisor should be at least once a month and be documented.
- Supervise and assist volunteers with court reports and edit as needed.
- Reinforce confidentiality policy with every volunteer.
- Assist with recruitment of new volunteers.
- Participate in evaluation of volunteer performance and periodic documentation checks.
- Consult with appropriate service providers.
- Assist in preparing volunteers for court testimony if necessary.
- Possess the ability to communicate with, supervise and empower volunteers to be effective in their roles.
- Introduce/monitor all Optima usage and approve contact logs as needed.
- Ensure adherence to National and New York State CASA standards.
Program Development
- Attend available conferences and workshops for the development of programs for volunteers at the request of the Program Director.
- Complete required data entry into Optima.
- Participate in staff meetings.
- Assist with planning volunteer appreciation events, in-service trainings, and other CASA of Rochester/Monroe County functions.
- Travel in and between Monroe and Wayne Counties required.
- Assist in community outreach as needed.
- Complete Training of Facilitators (ToF) through CASA of New York State or National CASA/GAL Association at the request of the Program Director.
- Assist in conducting pre-service training for new advocates.
Professional Development
- Adhere to the program policies on dress, professional conduct and demeanor.
- Model the mission as a public representative of CASA of Rochester/Monroe County.
- Always maintain confidentiality with staff, volunteers, Board, and court appointed professionals.
- Create and develop a yearly self-development plan with the Program Director.
- Actively participate in annual performance review by sharing milestones and achievements with the Program Director.
- Attend conferences, seminars, staff meetings, and trainings as requested by the Program Director.
- Other duties as assigned by the Program Director.
Skills, Knowledge, and Abilities
- Must demonstrate collaboration and leadership ability as well as a sound understanding of the principles of volunteer management and advocacy.
- Requires excellent verbal and written communication, as well as a demonstrated competency in office software applications.
- Possess ability to work well in a fast-paced changing environment and to handle multiple priorities.
- Must have a commitment to continuing professional and personal learning.
- Needs to be confident, flexible, organized, diplomatic, and responsible. Needs to be able to consult, problem solve and work collaboratively.
Education and Experience
- Undergraduate degree in social work, human services, or related field and three years relevant experience preferred.
- Commensurate education and work experience combination can be considered.
- Experience in volunteer management, competence in and commitment to the field of child welfare or child and family services.
- Knowledge of child abuse and neglect, advocacy, family dynamics, family court, and the social service system.
- Demonstrated commitment to cultural competency.
